Administrative Support
What administrative tasks can I delegate?
The right tasks will depend on your business, systems and workload. Typical areas include inbox organisation, diary coordination, meeting administration, document formatting, spreadsheet updates, CRM maintenance, research and customer or member follow-ups. During an initial conversation, we can identify which tasks are suitable to delegate and which should remain with you or another specialist.
Do I need to know exactly what support I need?
No. You may know that administration is taking too much of your time without having a complete list of tasks ready. We can begin by discussing what regularly gets delayed, what interrupts your working day and where information or follow-ups tend to become stuck. This helps turn a general need for support into clear and manageable responsibilities.
Can you work with the systems we already use?
Where practical, support can be provided through the systems and processes already used by your business. Before starting, we will discuss the tools involved, the access required and how tasks should be managed. Where a process is unclear, we can help organise the administrative steps without introducing unnecessary systems or making your working arrangements more complicated.
Is support available outside Northamptonshire?
Yes. Langham Virtual Assistant is based in Raunds, Northamptonshire, but administrative support is available to clients throughout the UK. Most work is delivered remotely using agreed communication and business systems. Being UK-based also makes it easier to work within UK business hours and understand the expectations of UK customers and organisations.
Can you help if our administration is currently disorganised?
Yes, although the work may need to be approached in stages. The first priority is usually to understand what information exists, what requires immediate attention and what needs a repeatable process. We can then help establish practical task lists, file structures, routines or records that make future administration easier to manage and delegate.
How will I know what work has been completed?
We agree a suitable communication and reporting process at the beginning of the work. This might include updates through your preferred task management system, scheduled check-ins or a summary of completed work and outstanding actions. The approach should give you useful visibility without creating another stream of messages for you to monitor.
Is administrative support only suitable for ongoing tasks?
No. Some businesses require regular weekly support, while others have a defined backlog, a temporary increase in workload or a particular administrative project. We can discuss whether the work is best suited to a retained package or a more limited piece of support, based on the tasks, deadlines and level of continuity required.
What is the difference between a virtual assistant and an employee?
A virtual administrative assistant provides outsourced support rather than joining your business as an employee. This can suit businesses that need reliable administrative capacity without creating a permanent role. The tasks, available hours, responsibilities and working arrangements are agreed as part of the service, so it is important to choose a level of support that reflects your actual workload.
Customer Service Support
What types of customer enquiries can you respond to?
We can respond to routine questions where the correct information, policy or next step has been agreed in advance. This may include booking enquiries, appointment information, service questions, customer updates, refund or cancellation requests and follow-up communication. Questions requiring a specialist decision, complaint resolution or authority outside the agreed scope will be escalated to the appropriate person.
Which customer service channels can you manage?
Support can cover shared email inboxes, website contact forms, social media messages, live chat and relevant booking platforms. For accommodation businesses, this may also include guest communication through booking channels and property management systems. The channels included will depend on your priorities, the access available and the hours allocated to your support package.
Will customer replies sound like they come from our business?
Before responding to customers, we agree your preferred language, tone of voice, key information and any wording that should or should not be used. Existing replies can be reviewed and turned into practical templates or guidance where helpful. The aim is to communicate consistently without making every response sound copied, impersonal or disconnected from your business.
Can you handle refund and cancellation enquiries?
We can respond to routine refund or cancellation questions using the policies and approval limits you provide. This may involve explaining the relevant terms, gathering information, updating the customer and completing an agreed process. Where discretion, authorisation or an exception is required, the enquiry will be referred to you or the appropriate team member rather than making an unsupported decision.
How do you decide what to resolve and what to escalate?
We establish the boundaries before support begins. These might include the questions that can be answered directly, circumstances requiring approval, urgent matters and the person responsible for each type of escalation. Clear notes and processes allow straightforward enquiries to move forward while ensuring that decisions outside the agreed remit stay with the appropriate person.
Do you provide telephone customer service?
Limited telephone support may be available where it forms part of an agreed package or defined process. Langham Virtual Assistant is not positioned as a high-volume telephone answering service, call centre or 24-hour helpline. We will discuss the expected number and type of calls before confirming whether telephone support is suitable and how it would be delivered.
Can you manage guest communication for accommodation businesses?
Yes. Support may include responding to booking questions, sharing agreed arrival information, answering routine pre-stay enquiries, sending follow-ups and communicating through online travel agency channels or property management systems. Responsibilities, response guidance and escalation arrangements will be agreed with the property before guest messages are managed on its behalf.
Can customer service support be combined with administrative support?
Yes. Customer communication often connects directly with diary management, CRM updates, booking administration, follow-ups and record keeping. These tasks can be combined within one support package where appropriate. We will agree the priorities and available hours so that customer-facing work and behind-the-scenes administration are managed in a clear and realistic way.
Membership Support
What is membership administration support?
Membership administration support covers the practical work involved in managing the member journey and keeping membership processes moving. This can include enquiries, applications, onboarding, subscriptions, renewals, records, portal access, events and communications. Langham works within the organisation’s agreed policies and systems rather than making professional, regulatory or strategic membership decisions independently.
Can you support prospective members as well as existing members?
Yes. We can respond to prospective membership enquiries using approved information, explain available membership routes, send application or payment links and follow up incomplete applications. Where someone requires individual professional advice or a decision about eligibility, the enquiry will be escalated to the appropriate person within your organisation.
Can you manage renewals and membership payments?
Support can include issuing renewal reminders, sending payment links, following up outstanding subscriptions, confirming receipt and updating membership status within agreed systems. We can also assist with lapsed-member and rejoining processes. Payment disputes, write-offs, exceptions and formal debt recovery remain the responsibility of an authorised person within the organisation.
Can you respond to members on behalf of our organisation?
Yes. We begin by understanding your membership options, benefits, policies, terminology and preferred tone of voice. Routine enquiries can then be answered using agreed guidance, templates and source information. Questions requiring professional expertise, policy interpretation, complaint resolution or organisational authority will be escalated rather than answered without the correct approval.
Which communication channels can you support?
Membership communication may be managed through email, website forms, membership portals, CRM systems, social media messages, live chat, WhatsApp Communities and other online groups. Limited telephone support may also be available where agreed. The channels included will depend on your systems, expected activity and the number of support hours allocated.
Can you help with membership events, webinars and training?
Yes. Support may include registration forms, joining instructions, reminder emails, attendance lists, webinar administration, follow-up communications, certificates and CPD record updates. We can also support polls or surveys used to choose dates, gather feedback or understand member preferences. Specialist event delivery and technical platform support would be agreed separately where required.
Can you prepare member newsletters and automated communications?
We can help prepare and distribute welcome emails, renewal campaigns, membership pipeline communications, benefit reminders, weekly or monthly bulletins, event invitations and other recurring member updates. Your organisation would provide or approve specialist policy, technical, clinical or professional content where subject expertise is required.
Can you maintain our membership CRM and provide reports?
Yes. Support can include updating member records, membership types, payment status, contact details, applications, renewals and engagement information. We can also produce agreed membership summaries and recurring reports. More detailed CRM restructuring, dashboard creation or workflow automation can be combined with our Systems and Reporting Support service.
Is membership support available as a bespoke package?
Yes. Membership workloads often vary around renewals, events, application periods and annual communication cycles. Support can be arranged through one of our standard packages or shaped into a bespoke arrangement based on the work involved, expected volumes, channels and required continuity. Any responsibilities and available hours will be agreed before support begins.
Operational Support
What is business operations support?
Business operations support focuses on the recurring processes, coordination and follow-through that keep everyday work moving. This may involve monitoring actions, gathering updates, maintaining trackers, coordinating people, preparing routine reports and improving workflows. It sits between general task-based administration and full operational management, providing practical implementation without taking over the strategic responsibilities of the business owner or directors.
How is operational support different from administrative support?
Administrative support usually focuses on defined tasks such as inbox management, diary coordination, document preparation and record updates. Operational support connects several tasks, systems or people within a recurring process. For example, rather than simply updating a tracker, operational support may gather the information, follow up missing updates, maintain the tracker and provide a summary of outstanding actions.
How much ownership can Langham take?
Once the responsibilities, processes and boundaries have been agreed, Langham can manage recurring activities without requiring a new instruction at every stage. This may include monitoring deadlines, chasing information, updating systems and flagging issues. Decisions requiring director approval, specialist expertise or authority outside the agreed scope remain with you or the appropriate member of your team.
Can you coordinate employees, suppliers and contractors?
We can request updates, follow up agreed actions, gather information and maintain a consolidated action log involving employees, associates, suppliers or contractors. This supports coordination but does not amount to formal line management. Responsibility for performance management, employment decisions, contractual disputes and specialist supplier decisions remains with the business and its authorised managers.
Can you review and improve our workflows?
Yes. We can review how a recurring process currently works, identify unnecessary duplication or gaps and help introduce a clearer workflow. This may include task stages, templates, checklists, ownership, notifications and practical automations. The aim is to make everyday work easier to follow and maintain rather than introduce a complex system that creates additional administration.
What reporting can you provide?
Support may include weekly or monthly operational summaries, action reports, spreadsheet reporting, CRM reports, membership information, booking reports and the collation of updates supplied by other people. Reporting requirements are agreed around the information available and the decisions it needs to support. More detailed system maintenance and reporting can also be combined with our dedicated Systems and Reporting Support service.
Can you help if our processes are not documented?
Yes. Many growing businesses rely on knowledge held by the owner or individual team members rather than formal processes. We can begin by mapping the current steps, identifying the people and systems involved and recording a practical working process. Documentation can then be developed through checklists, templates and clear responsibilities as the work becomes better understood.
Does operational support replace an operations manager?
No. Langham provides flexible, outsourced operational coordination rather than a full-time operations management or director-level role. We do not provide regulated legal, financial, HR or compliance advice, make decisions requiring director authority or offer round-the-clock emergency cover. The service is best suited to businesses that need dependable implementation and follow-through without appointing another permanent manager.
What is business systems support?
Business systems support focuses on organising and maintaining the tools and information used to manage everyday work. This can include CRM platforms, task-management systems, forms, trackers, databases and connected workflows. The service may involve improving an existing setup or creating a practical new structure where information is currently spread across spreadsheets, inboxes and separate platforms.
Pricing
How much does a virtual assistant cost in the UK?
A monthly package is usually better when you have recurring admin, customer communication, content updates or operational tasks. Pay As You Go can work well for occasional support when availability allows.
What happens if I do not use all my hours?
Monthly packages include a clear allocation of time. Any rollover or review arrangements can be discussed during your discovery call so the package fits your workload properly. Generally, we allow a 10% rollover per month.
Can I change package later?
Yes. Your support can be reviewed as your workload changes, so you are not locked into a package that no longer reflects what your business needs.
What tasks can be included in a VA package?
Support can include day-to-day admin, inbox support, customer communication, diary coordination, document formatting, reporting, spreadsheet updates, WordPress content updates and recurring operational tasks.
Is a monthly VA package better than Pay As You Go?
A monthly package is usually better when you have recurring admin, customer communication, content updates or operational tasks. Pay As You Go can work well for occasional support when availability allows.
Systems & Reporting Support
Can you help us set up or reorganise a CRM?
Yes. We can help structure contacts, fields, tags, pipelines, tasks and routine processes around how your business actually works. Existing data may also be cleaned and reorganised before it is imported or updated. We do not recommend adding functionality simply because it is available; the setup should remain understandable and manageable for the people expected to use it.
Can you clean and migrate our existing data?
Support may include removing duplicate records, correcting inconsistent formatting, identifying missing fields, restructuring spreadsheets, archiving outdated information and preparing data for import. The exact process depends on the systems involved and the condition of the source data. Data migration will be planned carefully, but compatibility and successful import depend partly on the requirements of the third-party platforms involved.
What types of reports can you produce?
Reports may include weekly or monthly management information, operational summaries, CRM activity, membership data, customer service activity, booking and revenue information, website or marketing results and outstanding-action reports. We can collate data from agreed sources and present it in a clearer format while leaving specialist financial, legal or strategic interpretation to you and your professional advisers.
Can you set up workflows and automations?
Yes. We can identify repetitive administrative steps and introduce practical workflows, reminders, notifications and straightforward connections between commonly used tools. This may include testing and documenting how the process works. Langham does not provide custom software development, advanced coding or enterprise-level automation consultancy, and the suitability of any integration will be checked before work begins.
Which systems and platforms can you support?
Experience includes Microsoft Excel and Microsoft 365, ClickUp, CRM and membership platforms, Mailchimp, WordPress, Google Workspace, FreeAgent, Xero and various hospitality systems. These include Airbnb, Booking.com and Expedia partner portals, Smoobu, Yale and RemoteLock. The specific access and work required will be reviewed first, as supporting a platform does not imply expertise in every feature or integration it offers.
Can you train our team to use a new system?
We can provide practical user guidance, process notes, checklists and documentation explaining how an agreed system or workflow should be used. We can also support users while a new process is introduced. This is intended to help with adoption and consistency rather than replace formal technical training provided by the software company or an accredited specialist.
Can a systems project become ongoing support?
Yes. A project may begin with data clean-up, CRM organisation, dashboard creation or workflow setup. Once the structure is working, retained support can help maintain records, produce recurring reports, review exceptions and improve the process over time. The ongoing responsibilities and allocated hours would be agreed separately so that the system remains realistic to maintain.
What is not included within this service?
The service does not include custom software development, enterprise IT implementation, cybersecurity management, formal accountancy, regulated advice or unrestricted technical support. Langham Virtual Assistant does not take responsibility for business decisions made from a report or guarantee compatibility between all third-party systems. Any responsibilities requiring specialist legal, financial, HR, compliance or technical expertise remain with an appropriate professional.
Website & Digital Support
Which website platforms can you work with?
Experience includes WordPress, Elementor, Gutenberg, Squarespace, Wix and Lovable websites. We can also support related digital platforms such as Mailchimp, MailerLite, GoHighLevel and membership or learning systems. The specific website, access and work required will be reviewed first, as experience with a platform does not imply specialist knowledge of every theme, integration or technical feature.
Can you create new website pages?
Yes. We can build new pages within an existing website and established design system, including service pages, location pages, landing pages and campaign pages. Content can be supplied by you, developed collaboratively or drafted using your guidance. A full website redesign, custom development or significant changes to the underlying structure would require separate assessment and agreement.
Can you write the website content as well as upload it?
Yes. We can draft new content, improve supplied copy or adapt existing business information for a website page. AI tools may be used responsibly to support research, structure and drafting, but the content will be shaped around your guidance and reviewed for accuracy. You remain responsible for approving specialist claims, technical information, policies and final wording.
What SEO support is included?
Support can include basic keyword research, SEO titles, meta descriptions, page headings, URL suggestions, internal linking, image alt text, FAQ content and updating existing pages for improved search relevance. We can also implement content supplied by an SEO specialist. The service does not include advanced technical SEO audits, backlink campaigns or guarantees about search-engine positions.
Can you keep our existing website updated?
Yes. Ongoing support may include page edits, blog uploads, image changes, resource updates, event listings, form amendments and checks for outdated information or broken links. Responsibilities and frequency will be agreed as part of your support package. Specialist technical maintenance, security management and complex troubleshooting are not included as standard.
Do you provide WordPress maintenance?
Basic WordPress tasks may be available, such as routine plugin or theme updates, checking pages after changes and testing forms. However, Langham is stepping back from specialist website maintenance, server management and technical support. More complex issues involving hosting, security, coding or compatibility may need to be referred to your developer or hosting provider.
Can you support email newsletters and other digital communications?
Yes. We can prepare, format, test and schedule approved newsletters, member bulletins and email campaigns using platforms such as Mailchimp, MailerLite and GoHighLevel. Support may also include list administration, links, images, forms and recurring workflow emails. Your business would provide or approve specialist, legal or regulated content where appropriate.
Can you create graphics for the website or social media?
Simple branded graphics, page banners, blog images and document updates can be created using tools such as Canva. Existing brand guidance and assets will be followed where available. Complex graphic design, animation, video production or the creation of a complete new visual identity would require a specialist designer or separately agreed support.
Can website work begin as a one-off project?
Yes. Work may begin as a defined project, such as creating service pages, organising blog content, updating an outdated website or building a campaign landing page. Once the immediate work is completed, ongoing support can be arranged for regular updates, newsletters, listings or digital administration where continued help would be useful.
What is not included within this service?
The service does not include custom software or plugin development, complex coding, server administration, cybersecurity services, advanced technical SEO or unrestricted emergency support. Full website redesigns may be possible only through a separately agreed project or specialist partnership. Technical work outside the agreed scope will be identified and referred rather than attempted without the appropriate expertise.

✔ Increased efficiency – More time to focus on growth and revenue.
Businesses that switch from full-time employees to virtual assistants can reduce costs by up to 78%, making them a smart financial investment.
How do I find a trustworthy virtual assistant?
Finding a reliable VA is key to getting the most out of outsourcing. Here’s how:
✔ Define your needs – Know the tasks and skills you require.
✔ Look on reputable platforms – Try Upwork, PeoplePerHour, or specialist VA agencies.
✔ Check reviews and testimonials – See what past clients say.
✔ Interview candidates – Assess their communication and reliability.
✔ Start with a trial task – Test their skills before committing long-term.
Taking the right steps ensures you hire the best VA for your business.

A virtual assistant doesn’t just help your business—they help you. By handling time-consuming tasks, a VA allows you to:
✔ Spend more time on important business goals
✔ Avoid burnout and reduce stress
✔ Have more free time for family, hobbies, and self-care
✔ Work smarter, not harder
Entrepreneurs who delegate tasks report higher job satisfaction and better mental well-being.
What’s the best way to delegate tasks to a virtual assistant?
To make outsourcing smooth and effective, follow these steps:
🔹 Identify what to delegate – List out repetitive or time-consuming tasks.
🔹 Use collaboration tools – Platforms like Slack, Zoom, Trello keep work organised.
🔹 Set clear instructions – Provide detailed guidelines and expectations.
🔹 Track progress – Use task management tools like Asana or Monday.com.
🔹 Start small, then scale – Assign simple tasks first, then increase responsibilities.
A structured approach ensures seamless delegation and maximised efficiency.
What types of tasks can I outsource to a virtual assistant?
A virtual assistant can handle a wide range of business tasks, including:
✔ Admin support – Email management, calendar organisation, data entry.
✔ Customer service – Responding to inquiries, managing live chat, handling bookings.
✔ Marketing tasks – Social media management, content creation, SEO.
✔ Finance support – Invoicing, bookkeeping, expense tracking.
✔ Project management – Research, document prep, CRM updates.

How can a virtual assistant help boost productivity?
A virtual assistant frees up valuable time by handling time-consuming admin tasks, such as:
- Managing emails and calendars
- Scheduling appointments
- Researching and organising data
- Handling customer support
- Processing invoices and payments
By delegating these routine tasks, business owners can focus on revenue-generating activities and business growth. Studies show that outsourcing admin work can increase productivity by up to 40%.

A virtual assistant is often the smarter choice compared to a traditional in-house assistant. Here’s why:
✅ Cost savings – No salaries, benefits, or office costs.
✅ More flexibility – Work with a VA as and when needed.

✔ Lower costs – No salaries, pensions, or office expenses.
✔ More flexibility – Only pay for the hours or tasks you need.

How much does it cost to hire a virtual assistant in the UK?
The cost of hiring a virtual assistant in the UK varies depending on experience and services offered. On average, rates range from £25–£45 per hour, with some offering monthly retainers or package deals. Unlike hiring a full-time employee—where you cover salary, benefits, and office costs—a VA only charges for the work they do, making them a cost-effective alternative that can save businesses up to £50,000 a year.
