Support behind every reply

Customer Service Virtual Assistant Who Knows Your Business

Dependable support with customer enquiries, follow-ups and day-to-day communication. Based in Northamptonshire and working with businesses and organisations across the UK.

Keep customers informed

Make every enquiry easier to manage and follow through

Customer messages rarely arrive at a convenient time. An enquiry lands while you are with a client, a booking question interrupts another task and a follow-up you meant to send slips further down the list.

A customer service virtual assistant provides another dependable pair of hands behind those conversations. We can manage agreed customer communication across email, website forms, social media messages, live chat and booking platforms, using your guidance, systems and preferred tone of voice.

Straightforward enquiries can be answered without everything coming back to you. Where a question falls outside the agreed process, it is passed to the right person with the relevant information already gathered.

This is not anonymous call-centre support. It is practical, relationship-led help from someone who takes the time to understand your services, customers and ways of working. The result is clearer communication for your customers and fewer interruptions competing for your attention.

Practical customer support

What your customer service virtual assistant can take care of

The support is agreed around your customers, communication channels and existing systems. Before responding on your behalf, we establish your preferred tone, common questions, policies, approval requirements and escalation process. This creates clear boundaries around what can be handled directly and what should be referred back to you or another member of your team.

Better communication, less pressure

Give customers clearer answers without handling everything yourself

Customer service support creates a more dependable route from initial enquiry to response, follow-up or escalation. It also reduces the number of routine conversations that depend entirely on your availability.

Customers Are Not Left Guessing

Routine enquiries and updates have someone responsible for moving them forward. Customers receive useful information rather than waiting unnecessarily or needing to contact your business repeatedly for an answer.

Your Communication Stays Consistent

Agreed guidance, response templates and escalation processes help maintain a recognisable tone across different channels while still allowing replies to feel relevant to the person asking the question.

Your Working Day Has Fewer Interruptions

You remain involved where your knowledge or authority is needed, but straightforward questions, updates and follow-ups no longer have to pull you away from higher-priority work.

Helpful information

Frequently asked questions about customer service support

These answers explain how outsourced customer communication can work in practice.

What types of customer enquiries can you respond to?

We can respond to routine questions where the correct information, policy or next step has been agreed in advance. This may include booking enquiries, appointment information, service questions, customer updates, refund or cancellation requests and follow-up communication. Questions requiring a specialist decision, complaint resolution or authority outside the agreed scope will be escalated to the appropriate person.

Which customer service channels can you manage?

Support can cover shared email inboxes, website contact forms, social media messages, live chat and relevant booking platforms. For accommodation businesses, this may also include guest communication through booking channels and property management systems. The channels included will depend on your priorities, the access available and the hours allocated to your support package.

Will customer replies sound like they come from our business?

Before responding to customers, we agree your preferred language, tone of voice, key information and any wording that should or should not be used. Existing replies can be reviewed and turned into practical templates or guidance where helpful. The aim is to communicate consistently without making every response sound copied, impersonal or disconnected from your business.

Can you handle refund and cancellation enquiries?

We can respond to routine refund or cancellation questions using the policies and approval limits you provide. This may involve explaining the relevant terms, gathering information, updating the customer and completing an agreed process. Where discretion, authorisation or an exception is required, the enquiry will be referred to you or the appropriate team member rather than making an unsupported decision.

How do you decide what to resolve and what to escalate?

We establish the boundaries before support begins. These might include the questions that can be answered directly, circumstances requiring approval, urgent matters and the person responsible for each type of escalation. Clear notes and processes allow straightforward enquiries to move forward while ensuring that decisions outside the agreed remit stay with the appropriate person.

Do you provide telephone customer service?

Limited telephone support may be available where it forms part of an agreed package or defined process. Langham Virtual Assistant is not positioned as a high-volume telephone answering service, call centre or 24-hour helpline. We will discuss the expected number and type of calls before confirming whether telephone support is suitable and how it would be delivered.

Can you manage guest communication for accommodation businesses?

Yes. Support may include responding to booking questions, sharing agreed arrival information, answering routine pre-stay enquiries, sending follow-ups and communicating through online travel agency channels or property management systems. Responsibilities, response guidance and escalation arrangements will be agreed with the property before guest messages are managed on its behalf.

Can customer service support be combined with administrative support?

Yes. Customer communication often connects directly with diary management, CRM updates, booking administration, follow-ups and record keeping. These tasks can be combined within one support package where appropriate. We will agree the priorities and available hours so that customer-facing work and behind-the-scenes administration are managed in a clear and realistic way.
